Outlook Versions – Which One Should You Use?

Everything you need to know about the different Outlook versions and which one to use

When using Microsoft 365, there are currently three different versions of Outlook. It is important to understand the differences, as functionality and compatibility vary between them.


Outlook on the Web

Access via:

Features

  • No installation required

  • Works in all web browsers

  • Always up to date

  • Recommended for troubleshooting

Best suited for

  • Temporary use

  • Logging in from another computer

  • When the desktop app is not working


Outlook Classic (Recommended for Computers)

Outlook Classic is the traditional version of Outlook that has been used for over 20 years.

Important information

  • Outlook Classic is now free to download for Windows

  • It works reliably with Microsoft 365 accounts

  • It is recommended instead of "New Outlook"

  • This version is most compatible with Business Basic, Standard, and Ultimate licenses


New Outlook (Windows)

New Outlook is a more modern version that is preinstalled on many new Windows computers.

Limitation

Microsoft 365 accounts (for example Business Basic) cannot be used as the primary account directly in New Outlook.

For example:

  • If you have a Basic license and buy a new computer

  • You cannot add your Microsoft 365 account as the first account in New Outlook

You must first add a personal account, such as:

  • Outlook.com

  • Gmail

After that, you can add your Microsoft 365 account.

This is a limitation from Microsoft.


Important Information About Licenses

Purchasing a Basic license provides:

  • Access to web apps

  • Access to email via the web

  • Access to Outlook Classic

However, it does not automatically provide full functionality in New Outlook for Windows, as that version is managed separately by Microsoft.
